Automate your outreach using workflows to connect with leads through multiple channels
Invelo’s workflows allow you to automate your lead follow-up by sending out messages through SMS, email, or direct mail. Instead of manually sending messages to each lead, you can schedule your outreach to happen automatically—saving time, ensuring consistency, and increasing your chances of connecting with prospects. This guide walks you through how to set up a workflow with outreach actions so you can streamline your marketing efforts.
Step-by-Step Guide:
-
Create a Workflow
Go to the Workflows tab and click on Create Workflow. Set your trigger condition (e.g., when a lead enters a specific stage or tag is applied). -
Choose an Outreach Action
When adding an action step, select one of the Outreach options: -
Select a Sender Profile
Each outreach method requires a sender profile:-
SMS: You must have an active smrtPhone integration with Invelo.
-
Email: You need to set up an SMTP email integration.
-
Direct Mail: Simply select your preferred sender address from your existing profiles.
-
-
Choose or Create Your Message
You can either:-
Select from your list of saved message templates, or
-
Create a new message directly within the workflow step.
-
Once your workflow is live, Invelo will automatically send the selected outreach message to your leads when the conditions are met—no manual work needed!
Why Use Workflows for Outreach?
Manually keeping track of when to contact each lead can be time-consuming and prone to errors. Workflows take that burden off your plate by:
-
Automating follow-ups so no lead slips through the cracks.
-
Keeping messaging consistent across all leads.
-
Saving time so you can focus on conversations and closing deals instead of repetitive tasks.
-
Reaching leads at the right time based on triggers and delays you set.
With outreach actions in workflows, you can send a carefully timed sequence of SMS, emails, and direct mail to nurture leads effectively.
Best Practices for Using Workflows to Send Outreach Actions
-
Plan your sequence: Decide the order of channels (e.g., send SMS first for faster responses, then follow up with email, then direct mail).
-
Use delays strategically: Space out your messages so leads don’t feel overwhelmed and have time to respond.
-
Personalize your content: Include merge fields like first name, property address, or offer details to make your outreach feel personal.
-
Monitor performance: Review workflow reports to see which channels and messages are getting the best engagement.
