Managing Lost prospects

Keep your pipeline clean by properly marking and managing prospects you’re no longer pursuing

Not every prospect turns into a deal—and that’s completely normal. Managing your Lost prospects in Invelo helps you keep your database organized, avoid unnecessary outreach, and focus your efforts on opportunities that still have potential. This guide walks you through how to access Lost prospects, when to use the Lost stage, and why marking records as Lost is better than deleting them.


How to access Lost prospects

You can easily view all Lost property records using filters.

  1. Go to your Prospects tab

  2. Click Filters

  3. Apply the filter: Lost is Yes

This will display all property records that have been marked as Lost.


Lost reasons explained

When marking a prospect as Lost, you’ll select a reason to keep your reporting accurate and your records organized.

Available Lost reasons include:

  • Couldn't find buyer

  • Do Not Contact

  • Listed on the MLS

  • Not interested in selling

  • Offer is too low

  • Other

  • Seller is asking too much

  • Sold

  • Title issues

Tracking the reason helps you understand patterns in your pipeline and improve future outreach strategies.


When to push prospects to Lost

You should mark a property as Lost when you no longer plan to market to the owner or attempt further outreach.

Common scenarios include:

  • The property has already been Sold

  • The owner is Not interested in selling

  • The owner requested Do Not Contact

  • The property is Listed on the MLS

  • The seller is asking too much or rejected your offer

  • There are Title issues

  • You Couldn't find a buyer

  • Any other situation where the opportunity is no longer viable

Marking these properly ensures your marketing lists stay clean and compliant.


Why keep prospects in the Lost stage instead of deleting them?

It may be tempting to delete property records, but keeping them in the Lost stage is the better long-term strategy.

If you delete a record, there’s a strong chance you may reimport the same property later through list uploads or data pulls. When that happens, you lose the history showing that the property was previously contacted, sold, or marked as Do Not Contact.

By pushing properties to the Lost stage instead of deleting them:

  • You prevent them from being accidentally reopened

  • You retain important contact and marketing history

  • You ensure properties marked Do Not Contact are not marketed to again

  • You avoid duplicate outreach and compliance risks

Keeping Lost records preserves your data and protects your marketing process.


How to push property records to the Lost stage

There are two ways to mark properties as Lost:

Option 1: From a single property record

  1. Open the property record

  2. Click Lost at the top of the page

  3. Select the appropriate Lost reason

  4. Confirm your selection

Option 2: From the prospects column view (bulk action)

  1. Go to the Prospects tab

  2. Select the property records you want to update

  3. Click Edit from the bulk actions menu

  4. Choose Lost

  5. Click Mark as Lost

This is especially helpful when updating multiple records at once.


Automations for recently sold properties

Invelo includes an automation that automatically moves property records to the Lost – Sold stage if they have been sold within the last four months.

If you prefer to manage this manually, you can disable this automation in your Settings.


Keeping your Lost prospects properly categorized helps you stay focused on active opportunities while maintaining a clean, organized database. If you’re ever unsure whether to mark a record as Lost, ask yourself: Will I continue marketing or reaching out to this owner? If the answer is no, it’s time to move it to Lost.
