Processing marketing batches and send dates in Invelo

Understand when your campaigns are scheduled and how send dates are determined

When you launch a marketing campaign, you may notice that your send dates initially show as “TBD.” This is completely normal. Invelo processes marketing campaigns in daily batches. Once processing occurs, your campaign’s scheduled send dates are finalized and updated automatically.

This guide explains how batch processing works, when it happens, and what you can expect after launching your campaign.

How marketing batch processing works

Invelo processes all marketing batches once per day at approximately 8:00 PM EST.

During this processing window, the system:

  • Finalizes new campaign enrollments

  • Schedules upcoming touchpoints

  • Assigns official send dates

  • Queues outreach for delivery

Any prospects added to a campaign before the daily processing time will be included in that evening’s batch.

If prospects are added after the daily batch has processed, they will be scheduled in the next day’s batch cycle.

Why send dates show as “TBD”

Until the nightly batch runs, your campaign’s send dates will display as:

TBD (To Be Determined)

This simply means:

  • The campaign has been successfully launched

  • The audience is queued

  • The system is waiting for the next processing cycle

Once the 8:00 PM EST batch completes, those “TBD” labels will automatically update to show the actual scheduled send dates. No manual action is required.

Example timeline

Here’s how timing typically works:

  • 2:00 PM EST: You enroll prospects into a campaign

  • 8:00 PM EST: The daily batch processes

  • After processing: Send dates populate and outreach is officially scheduled

If you enroll prospects at 9:30 PM EST, they will be processed the following evening.

What this means for your campaign planning

Understanding the daily batch schedule helps you:

  • Set accurate expectations for outreach timing

  • Plan time-sensitive campaigns appropriately

  • Communicate confidently with your team

  • Avoid confusion when seeing “TBD” in send fields

If you're launching a campaign that needs to begin urgently, make sure prospects are enrolled before the daily processing time.
