Reviewing appointment attendance rate

Track appointment outcomes and cancellation trends to boost team performance and scheduling success

Understanding how appointments perform is key to optimizing your lead conversion process. In Invelo, you can easily monitor appointment activity at the team level—including how many were set, attended, canceled, or still open. With detailed tracking and cancellation rate insights, you can identify attendance patterns, spot issues early, and refine your team's scheduling strategy for better results.

How to review appointment attendance metrics

In your Pipeline Insights or Team Performance dashboards, you’ll find a breakdown of appointment activity per team member. These metrics include:

  • Total appointments set – The total number of appointments scheduled by the team member.

  • Open appointments – Appointments that are upcoming or have not yet been marked as attended or canceled.

  • Attended appointments – Appointments that were successfully completed.

  • Canceled appointments – Appointments that were canceled by the lead or team member.

  • Cancellation rate – The percentage of canceled appointments out of the total set, giving you a quick measure of scheduling reliability.

These numbers are automatically updated as appointments are created and updated in the system.

Where to get appointment attendance data

Appointment attendance data is recorded when you schedule an appointment as a task linked to an individual property record in the system. To ensure accurate tracking, make sure the appointment is created directly under the Tasks tab for that specific property. From there, you can monitor and update the status of the appointment (e.g., attended, completed, cancelled), which contributes to your attendance tracking and reporting.


To add an appointment on a property record: 

  1. Navigate to the single property record for the address you want to add an appointment to.

  2. Within the property record, find and select the Activities section.

  3. From the Activities section, choose Tasks, then select Appointment.

  4. Fill in all the necessary details for the appointment, and then click Save.

To add an appointment result on the property record: 

  1. From the simple property record, head to the Activities section.

  2. Look under Upcoming activities to locate the specific appointment you want to update.

  3. Click on the appointment, then simply select its new status: Open, Completed, or Cancelled.

  4. Don't forget to click Save to finalize the update!

Why appointment attendance matters

Tracking attendance helps you:

  • Spot scheduling issues (e.g., leads consistently canceling or no-shows).

  • Identify top performers who set and complete high volumes of quality appointments.

  • Improve lead nurturing by adjusting timing or communication style if certain lead types have higher no-show rates.

  • Refine your strategy by analyzing trends—such as which days or time slots result in better attendance.
