Understanding smrtPhone user mapping in Invelo

Learn how smrtPhone user mapping controls access to phone numbers in Invelo

If you notice that certain smrtPhone numbers are not appearing in your Invelo account, it’s likely due to user mapping settings. Invelo’s integration with smrtPhone respects the phone number permissions set at the user level, meaning each team member will only see the numbers they are authorized to access based on their mapping.

What is user mapping?

User mapping connects your Invelo user to your corresponding smrtPhone user. This mapping ensures that each person only has access to the phone numbers assigned to them in smrtPhone—maintaining security and preventing overlap across teams.

Why can’t I see all phone numbers?

If you’re mapped to a smrtPhone user who has access to only a few numbers, you’ll only see those numbers in Invelo. For example, if your smrtPhone user is assigned to just 4 phone numbers, that’s all that will appear for you inside Invelo.

This setup ensures that users aren’t mistakenly using numbers they’re not supposed to have access to.

How to give a user access to more numbers

If someone on your team needs to use additional phone numbers in Invelo:

  1. Update Permissions in smrtPhone:

    • Log in to your smrtPhone account.

    • Navigate to the user’s settings in the Admin page. 

    • Locate the user you want to update, then click Actions > User configurations .
    • Under Available User IDs, adjust the Caller IDs this user is allowed to use:

      • You can choose to allow access to All Caller IDs, All Department IDs, or specify Custom Caller IDs as needed.

  2. Resync in Invelo:

    • Go to Integrations > smrtPhone > User Mapping in Invelo.

    • Click the Resync button to refresh the user mapping and pull in the updated permissions.

Still not seeing the numbers?

Double-check that the correct smrtPhone user is mapped in Invelo and that the needed phone numbers are assigned on the smrtPhone side. Without proper mapping and permissions, the numbers won’t appear—even if they exist on your smrtPhone account.
