Batch your marketing campaign audience
Learn how to batch your marketing audience in Invelo
When launching a marketing campaign, you can choose to send your outreach to everyone at once or divide your audience into smaller batches over time. Batching gives you more control over delivery, budget pacing, and performance tracking — especially for larger audiences.
This guide will walk you through when to batch, how it works, and best practices for getting the best results.
When should you use batching?
Batching is ideal when:
-
You’re sending to a large audience
-
You want to control daily spending
-
You want to monitor responses before sending to everyone
-
You want to protect deliverability (for SMS or email campaigns)
-
You prefer to stagger outreach instead of overwhelming your market
If you’re sending to a small list and speed is your priority, sending all at once may be perfectly fine.
Understanding your send options
Send All at Once
This option delivers your campaign to your entire selected audience immediately.
Best for:
-
Smaller lists
-
Time-sensitive campaigns
-
Urgent follow-ups
Keep in mind that sending to a very large audience at once may impact deliverability or budget pacing.
Send in Batches
This option divides your audience into smaller segments and sends them gradually based on your selected daily volume.
Best for:
-
Large lists (1,000+ prospects)
-
Budget control
-
Deliverability protection
-
Performance testing before full rollout
Example:
If you have 10,000 prospects and set your batch size to 2,500 per week, your campaign will run over 4 weeks instead of sending all messages at once.
This allows you to:
-
Monitor reply rates
-
Adjust messaging if needed
-
Avoid overwhelming your outreach channel

Best practices for batching
1. Start with a test batch
If you’re trying new messaging, send to a smaller batch first (e.g., 300–500 prospects). Review performance before scaling.
2. Match Batch Size to Channel
-
SMS and email benefit from steady pacing to maintain deliverability.
-
Direct mail may require batching based on budget allocation.
3. Monitor campaign performance
After your first batch goes out:
-
Check open rates (email)
-
Monitor replies (SMS)
-
Track response or deal conversion
If engagement is low, consider adjusting your messaging before the next batch goes out.
4. Avoid audience fatigue
Sending too frequently to the same prospects can reduce engagement. Plan your cadence strategically.
Pro Tip: Think strategically about timing
Batching isn’t just about volume — it’s about control.
You can use batching to:
-
Test different messaging angles
-
Compare response rates week over week
-
Align outreach with follow-up workflows
Smart pacing often leads to better long-term campaign performance.
