Importing Complex Lists

Have a list with multiple owners, detailed contact info, or layered property data? No problem! This guide will walk you through importing complex lists—step by step.

What Is a "Complex" List?

Complex lists typically include:

  • Multiple owners or contacts per property

  • Mailing addresses and email/phone details per contact

  • Custom fields like pipelines, temperature, APNs, or tags

  • Multi-list or multi-tag records

  • Special categories like Probate, Divorce, or Bankruptcy with multiple parties and roles


 

Preparing Your File

1. Use the Correct Format

Your file should be in .csv format.

2. Use Approved Field Names

To avoid import errors, your column headers must match our required field names exactly.

Valid Header Don’t Use
Property address 1 Street or Address
Contact 1 first name Owner Name
Lifecycle stage Stage or Status
Contact 1 email 1 status Email status

3. Use Valid Field Values

Some fields require exact match values:

  • Lifecycle stage: prospect, lead, or deal

  • Lead temperature: hot, warm, or cold

  • Contact 1 email 1 type: home, work, or other

Mapping Fields During Import

When uploading, you’ll map your columns to our system fields. If your headers match exactly, they’ll auto-map. If not, you can manually match them and save the mapping for next time.

 

Handling Special Lists (e.g., Probate, Divorce)

Some complex lists—like Probate, Divorce, or Inheritance—involve multiple parties with specific roles. These must be clearly defined during import.

 

Use Contact Type to Identify Roles

Use the Contact 1 contact type (and Contact 2 contact type, etc.) field to capture each contact’s role in the record.

 Probate List Example:

Divorce List Example:

💡 Ensure consistency across your team when using custom contact types, especially if you rely on filters or automations.

Use Tags and Notes for Clarity

  • Use the Lists column to classify records: e.g., probate, divorce, legal, etc.

  • Add extra context in the Notes column: e.g., “Owner passed away in 2023”, “Divorce pending court approval”


 

Other Common Complex Scenarios

Multiple Owners or Contacts

Use structured contact fields:

  • Contact 1 first name, Contact 2 first name, etc.

  • Assign each contact their own Contact type.

Multiple Emails or Mailing Addresses

Use fields like:

  • Contact 1 email 1, Contact 1 email 2, etc.

  • Contact 1 mailing address 1 address street 1, city, state, etc.

Tags and Lists

  • Use commas to separate values in the Tags or Lists fields.
    Example: absentee,high equity

Tips for a Smooth Import

  • Clean up: Remove merged cells, formulas, and empty rows

  • Use proper date formats: MM/DD/YYYY or YYYY-MM-DD

  • Strip formatting from number fields (no currency symbols or commas)

  • Test with 5–10 rows before importing a full list
