Filter your records

How to narrow your record results using intelligent filters

Filters are a tool used to narrow down your records to only show those that meet a specific criteria.

Invelo has multiple filters that you can use, which are all divided into categories:

  • Property Records

  • Property Details

  • Ownership

  • MLS

  • Valuation & Equity
  • Foreclosure
  • Primary Contact
  • All contacts 

As you move your records into higher lifecycle stages (moving a Prospect to a Lead, Lead to a Deal), you'll have more filter capabilities.


Create a new filter

*This example will walk you through creating a filter criteria to identify properties for a rehab or fix and flip investment strategy. But you can create intelligent filters for any real estate investment strategy. (NEED TO ADD NEW VIDEO HERE!)

 

  1. Go to the left-hand side menu in Invelo and select whether you're creating a filter for Prospects, Leads, Deals, or Contacts.

  2. Go to the upper right-hand section and click on "All prospects" if you're in the Prospects database, "All leads" if you're in the Leads database, "All deals" if you're in the Deals database, or "All contacts" if you're in the Contacts database.



  3. A pop-up modal will appear, letting you search for your saved filters. This page also includes a Favorites section where you can view the filters you use most often. The Filters tab displays all created filters that are not in your Favorites section.



  4. To add new filters or refine your records, click on the Add New Filter button, and a Create new filter pop-up modal will appear. 





  5. You can select your desired filter criteria to filter your records or contacts. Options include filters based on Property Record data such as Created date, Creator, Last exported date, Last skip traced date etc. Property Details such as APN, bathrooms, bedrooms, building condition, etc. This section also includes the Detailed property type. This includes:

    • Agriculture: Farm land, ranches, etc.
    • Commercial: Retail stores, grocery supermarkets, etc.
    • Miscellaneous: Utilities, roads, rights of way, etc.
    • Office: Commercial office buildings, multi-story buildings, medical or dental offices, etc.
    • Recreational: Bowling alleys, boat slips, marina recreation centers, etc.
    • Residential: Single-family homes, condominium units, row houses, etc.
    • Transportation: Airports, railroads, freeways, bus terminals, etc.
    • Vacant Land: Commercial or residential vacant land, wasteland, marshland, etc.

    Ownership data can also be used as your filter criteria. MLS, Valuation & Equity, Foreclosure, Primary Contact and All Contacts are also available to filter your records.

    The Leads, Deals, and Contacts databases provide an additional set of filters beyond those previously mentioned. For Leads, you can filter by details such as Asking Price, Lead Temperature, Purchase Offer Amount, etc. For Deals, filters include Closed Won, Deal Type, Profit, and more.

    The Contact database offers a unique set of filters, including:

    • Contact Record Data: Examples include Created Date, Email Count, Last Exported, etc.
    • Contact Indicators: Examples are Age, Bankruptcy, Deceased, Foreclosure, Litigator, etc.
    • Contact Details: Examples include Company, First and Last Name, etc.
  6. After selecting your desired filter, keep in mind that some filters require an operator, while others require a range of values. For example, in this case, the Living Area (SqFt) filter uses the operator "is between." If you're searching for properties for rehab and want to identify smaller homes, enter the range 1-850.


    Note: A Small Houses list identifies properties that are below 850 square feet, indicating a potential rehab opportunity. You can pull a Small houses list through Invelo's List Builder using the Small houses preset or Indicator.
  7. Once you have added your first filter, continue to add filters by clicking on the Add condition button to add new filters until you have your desired criteria.



  8. In this example, the Building Condition filter is added as Fair, Poor, and Unsound, further identifying rehab opportunities with records in your database. There is also a Listing status filter applied  and the operator is any of is used to identify Failed,  so you're only focusing on off-market properties.



  9. You can add another Filter Group by clicking on the +Add filter group to either expand or narrow your record results. In this example, the List filter is used to add the DFD list. The operator between filter groups is set to OR, expanding your results by adding properties you have specifically identified as in distress while driving around in your farm area.



    Note: As you add filters, you'll see the number of records that match your criteria to the right of the Cancel button.
  10. Optional: You can save your filters by clicking on the Save this filter dropdown and entering a name for the filter. For better organization, you can also create a folder for your filters. Simply click on the New Folder tab to create a new folder.


    A Create new folder pop-up modal will show. Enter your folder name. Click Save.

  11. Now that you have completed your filter criteria, click Apply or Save to view the records.



    Note: After you filter your records, you can manage lists and tags, skip trace, move to different lifecycle stages, delete, and more. The main reason to filter your records is to identify a high-quality marketing audience and start marketing.

⭐ Pro Tip

You can identify your hightest quality records by selecting the List Quality filter as High, and selecting the List Count as 2 or more. This will show records that are on at least one high-quality list and are also on multiple lists.


This is valuable because a record that appears on a high-quality list, as well as a medium or low-quality list, is of higher quality than a record that only appears on one high-quality list. By filtering by list quality and list count, you narrow down your records to the best of the best opportunities.

If you save this filter, you'll also be able to create marketing campaigns directly for these top quality records.
