How to narrow your record results using intelligent AND/OR filters

Filters are a tool used to narrow down your records to only show those that meet a specific criteria.

Invelo has multiple filters that you can use, which are all divided into categories:

  • Contacts

  • Records

  • Property

  • MLS

  • Marketing

  • Leads (only available for records in the Leads and Deals stages)

  • Deals (only available for records in the Deals stage)

As you move your records into higher stages (moving a Prospect to a Lead), you'll have more filter capabilities.


Create a new filter

*This example will walk you through creating a filter criteria to identify properties for a rehab or fix and flip investment strategy. But you can create intelligent filters for any real estate investment strategy.

  1. After opening the Filters modal, click the Select a Filter dropdown to select a filter or type in the criteria you want to search for.

  2. Enter the values for the selected filter. Some filters require an operator and some require a range of values. In this example, the Building Area (SqFt) filter requires a range of values, input from 1 - 850 square feet. Click Add Filter.

    Note: A Small Houses list identifies properties that are below 850 square feet, indicating a potential rehab opportunity. You can pull a Small Houses list through Invelo's List Builder.

  3. Once you have added your first filter, continue to add filters until you have your desired criteria. In this example, the Building Condition filter is added as Fair, Poor, and Unsound, further identifying rehab opportunities with records in your database. There is also an MLS Status filter applied as Failed, and Not Listed so you're only focusing on off-market properties.

    Notice that the operator between the two filter criteria is set to AND. If OR was selected, the results would populate a much larger audience, rather than narrowing to a very specific criteria.

  4. You can add another Filter Group to either expand or narrow your record results. In this example, the List filter is used to add the DFD list. The operator between filter groups is set to OR, expanding your results by adding properties you have specifically identified as in distress while driving around in your farm area.

    Note: As you add filters, you'll see the list of records that match your criteria to the right of the Apply button.

  5. (Optional) Save this set of criteria to access later or for your marketing audience by clicking the Save icon.

    Type a Filter Name and click Save. (You can share saved filters with your team on the Paid plans only - upgrade here.)

  6. Now that you have completed your filter criteria, click Apply to view the records.

    Note: After you filter your records, you can manage lists and tags, skip trace, move stages, delete, and more. The main reason to filter your records is to identify a high-quality marketing audience and start marketing.


Select a saved filter

Click the Saved tab and select the desired filter. Notice that the Rehab Marketing Audience filter has a grey single person icon. This icon indicates the filter is not shared with any team members. Now notice the Targeted HQ Motivated Sellers filter has a blue double person icon. Filters with this icon are shared with your team. Team management is available on the paid plans.

Apply filters

  1. Click the Prospects, Leads, or Deals tab, depending on where you want to view and filter your records.

  2. Click Filters.

3. From here, you have two options. You can either

  • Create a new filter

  • Select a saved filter

4. Once you have created a filter or selected a saved filter, click Apply to see the records that fit that filter criteria.

⭐ Pro Tip

You can identify your highest quality records by selecting the Quality filter for High quality, and selecting the List Count as 2 or more. This will show records that are on at least one high-quality list and are also on multiple lists.

This is valuable because a record that appears on a high-quality list, as well as a medium or low-quality list, is of higher quality than a record that only appears on one high-quality list. By filtering by list quality and list count, you narrow down your records to the best of the best opportunities.

If you save this filter, you'll also be able to create marketing campaigns directly for these top quality records.
